Hiding JAIX Attachments From Portal Users
24.26.0 JF-4008
Overview
Additional functionality has been added for better managing Consignment attachment visibility within the Portal.
Individual Attachments can be flagged as “Hidden”, making them visible for staff (within JAIX Freight) only, and not through Portal.
Only attachments uploaded via JAIX Freight users or JAIX Driver can be hidden, not Attachments uploaded by the Portal Users themselves.
Setup
There are existing settings related to Attachments available within each Debtor.
JAIX Accounts > Debtors > [DebtorName] > Online Settings
Hide Internal Attachments - When toggled, Portal Users can only see Attachments they themselves upload
View PDA Attachments - When enabled, Portal Users will have access to Photos taken within the JAIX Driver App
Hide Internal Attachments overrides View PDA Attachments.

The ability to Delete Attachments is controlled by a User Role Permission.
JAIX Admin > System > User Roles

Functionality
There are a number of methods for creating/adding Attachments:
Portal
Portal users can upload Attachments manually when creating or editing Consignments. These Attachments cannot be marked as Hidden.

JAIX Freight
Freight users can manually attach files from within the Pickup/Consignment/Job Form.

JAIX Driver - Take Photo
Drivers can take photos and link them to a specific Consignment.
There is also functionality to prompt for Photos during the Pickup or Delivery Complete event.
Custom Photo Requirements (CPRs)

Hiding Attachments
To hide a specific Attachment, the Consignment must be opened in JAIX Freight. The Attachment must be selected and the ‘Hide’ button clicked.
Once this occurs, a small eye icon will appear and the word ‘Hidden’ will be added to the start of the filename.
Attachments that are hidden in this manner cannot be seen by Portal Users. Hidden Attachments can be made visible again by selecting and clicking the ‘Show’ button.
JAIX Freight > Freight > Consignments

By implementing this functionality, JAIX Freight ensures secure and controlled access to attachments while maintaining the flexibility needed for internal operations.
