SmartSCAN (Freight) - Standard Training Reference

This document contains reference material to be used in conjunction with the SmartSCAN (Freight) Standard Training Module.  All functionality within the SmartSCAN (Freight) mobility app will be covered within this document.

SmartSCAN (Freight) is a mobility application to be used by Depot staff in order to streamline manifesting and allocations. Users can scan stock into a Dock Location, marking a Manifest as Arrived. Scanning can be used to split a Consignment onto multiple Manifests, or even tranship the Consignment to an intermediary Depot.

Introduction

SmartSCAN (Freight) is a mobile application that is used for Depot staff to perform Consignment allocations to Runsheets, Manifests and Dock Locations. The application can also create Splits and Transhipments.

Each function is intuitive and can work from a Consignment level or Manifest/Runsheet level. So users may scan a Consignment, then scan a Runsheet to allocate. Alternatively they could begin by scanning a Manifest, and then scanning on all required Consignments.

The creation of JAIX Accounts Mobility Assets and Employee credentials are covered within the Mobility Asset STM. This manual specifically handles the application functionality.

Settings

There are a number of settings for SmartSCAN (Freight) setup within JAIX Admin > Mobility > SmartSCAN Settings

Note: As of build 21.18.0 these settings are found in JAIX Admin > System > Entity List > Mobility > SmartSCAN


Link Barcode Pkg to Detail Lines

When toggled, JAIX will link barcodes directly to each Consignment Item. When unticked JAIX will simply scan based on the item Qty. Eg. 1 of 2, 2 of 2

Linehaul – Scan to Validate Only

When enabled all scanning is purely for logging purposes and will not update Manifest/Consignment Status or create Splits/Transhipment Consignments

Disable Auto-Complete Pickup On Depot Scan

Scanning a Consignment Freight Label to a Dock Location will auto complete the Pickup leg when unticked

Allow Linehaul Splits after Arriving at Receiving Depot

Allows the SmartSCAN device to create a split After the Manifest has been Arrived. This allows corrections to be made in the event that items were not shipped as expected

Data Wedge

There is an application built into many scanning devices that will interfere with the efficacy of SmartSCAN.

JAIX recommends this application be Disabled on all devices.

To disable Data Wedge, navigate to the scanning device Home screen.

Select Options > Apps > Data Wedge > Force Stop and then Disable


Screen Rotation

Another function that JAIX recommends to be disabled is the automatic screen rotation. This can be done by placing your finger at the top of the screen and swiping down. This will open a Notification/Quick Setting screen.

Click the Auto Rotate icon displayed as a turning screen.



Split

If a SmartSCAN (Freight) user scans two Consignment Freight Label to two separate Manifests, JAIX will automatically create a Linehaul Split. Both Manifest must be originating from the same Depot, and each Item scanned will reduce the Remaining Quantity from the Parent Consignment and add it to the Child Split. Both Manifests can then be Arrived and the Delivery Completed as normal.

Transhipment

If a SmartSCAN (Freight) user scans a Consignment Freight Label to a Manifest where the Consignment Receiving Branch does not match the Manifest Receiving Depot managing Branch. JAIX will prompt the user that a Transhipment Consignment will be created. If the user selects 'YES', a secondary Consignment will be created with a 'TA' suffix on the end of the Consignment number. This additional Consignment can then be manifested to the final destination.

 

SmartSCAN (Freight) Login



SmartSCAN (Freight) Login credentials will be provided by Management.

Employee record required with Employee Type = Other and 'Allow SmartSCAN (Freight)' box checked.

Creation of Mobility device covered under Mobility Assets STM.

About


Selecting the 'About' icon in the top right hand corner of the Login screen will open the About Screen.

This holds all identification information about the specific Mobility Asset and SmartSCAN application version.

This information is used to link a JAIX Accounts mobility asset with the physical device and was covered within the JAIX Mobility Assets Standard Training Module.

Selecting the 'Setup' icon will allow the user to scan a QR code to link the device to the customer's environment. This barcode can be found within JAIX Admin > Tools > System Setup > JAIX Web API Settings > Preview

Quiet Mode – Audio notifications will be turned off

Menu Options


This is the main menu which allows access to all SmartSCAN Functionality.

Note: If SmartSCAN (WMS) is also active, the user will see those functions listed here

Consignment Scan – This will allow the user to perform all functions from a single location but from the perspective of the Consignment. Scan a Consignment, and then Scan either a Manifest, Runsheet, Trailer Load or Dock Location

Load Manifest – This will prompt the user to scan a Manifest, and then scan all Consignments to be allocated

Load Trailer – This will prompt the user to scan a Manifest, and then scan all Consignments to be allocated

Load Runsheet – This will prompt the user to scan a Manifest, and then scan all Consignments to be allocated

Dock Take – Allows a simple stocktake function to confirm what is held within each Dock location

Connote Search – Shows which Dock Locations a Consignment is currently in

About – Provides information about the Mobility device and connected environment

Consignment Scan



Consignment Notes or Consignment Freight Labels can be scanned here.

The user can also manually type the Consignment number in the event that the Label has been damaged.

Scan to Dock Location


Once the Consignment Note or Label has been scanned, the user can then Scan a Dock Location.

Scanning to a Dock Location will perform the following changes:

  • Linked Manifests will be marked as Arrived if the Dock Location is within the receiving Branch
  • Freight will be marked as in the Dock location for reporting and searching


Load Manifest – Select Manifest


SmartSCAN user can either select the Manifest from the populated list, type the Manifest number into the search bar, or scan the Manifest barcode.

Load Manifest – Load/Remove



SmartSCAN users can scan individual Consignment Freight Labels to Load them to the Manifest. Alternatively the user can scan the Consignment Note Label which will allocate but not provide the same level of item tracking.

Clicking on 'Remove' will swap the function so that any Labels scanned will be removed from the Manifest. If all Items are Removed, JAIX will un-manifest the Consignment.

Clicking 'Missing Items' will show all remaining Items that have not yet been scanned.

Load Trailer Load – Select Trailer Load




SmartSCAN user can either select the Trailer Load from the populated list or type the Trailer Load number into the search bar.

Load Trailer Load – Load/Remove


SmartSCAN users can scan individual Consignment Freight Labels to Load them to the Trailer Load. Alternatively the user can scan the Consignment Note Label which will allocate but not provide the same level of item tracking.

Clicking on 'Remove' will swap the function so that any Labels scanned will be removed from the Trailer Load. If all Items are Removed, JAIX will remove the Consignment from the Trailer Load.

Clicking 'Missing Items' will show all remaining Items that have not yet been scanned.

Load Runsheet – Select Runsheet


SmartSCAN user can either select the Runsheet from the populated list, type the Runsheet number into the search bar, or scan the Runsheet barcode.



Load Runsheet – Load/Remove




SmartSCAN users can scan individual Consignment Freight Labels to Load them to the Runsheet. Alternatively the user can scan the Consignment Note Label which will allocate but not provide the same level of item tracking.

Clicking on ‘Remove’ will swap the function so that any Labels scanned will be removed from the Runsheet. If all Items are Removed, JAIX will remove the Consignment from the Runsheet.

Clicking ‘Missing Items’ will show all remaining Items that have not yet been scanned.

Dock Take – Scan Freight Label


Dock Take is a simplified Stock Take method.
First the user scans a Consignment Freight Label.

Dock Take – Scan Dock Locations




The user then scans the Dock Location.

Dock Locations can be created and barcodes printed from JAIX Freight > Depots & Zones > Dock Locations

This Freight Item will now be marked as within that Dock Location.

Consignment Note Search 


This function is specifically to find where consignment Freight Items are currently held within Dock Locations.

Scan the Consignment Note for a listing of all items and their Dock Location.
