JAIX Asset Management System (JAMS)

Overview
JAIX Asset Management System (JAMS) is a project under development to assist with asset management across multiple entities within the JAIX ERP. Essentially it allows for an Asset master entity to manage Asset details which are then updated in shared entities to avoid duplicate entry and updates.
At this stage JAMS is currently in BETA status and not available for wider release.
Some additional configuration at Asset level will be visible however will not impact your existing usage of Assets within your JAIX entities.
When a system is configured for JAMS, a new Master Entity will be configured to hold the master list of Assets. All updates to core Asset details will be made through the Master Entity with these changes then automatically updating entities that have been configured to share assets from the Master. For each Asset in the Master Entity, other Entities can be configured as servicing particular roles for the Asset. This currently includes Finance, Workshop and Operational roles.
Setup
As JAMS requires a new Master Entity as well as additional database level setup, it can be only be activated by support staff within JAIX. Once activated, the following Entity Role configuration is available within the Master Entities Assets:
By default, an Asset shared to an entity will be locked out for edit to ensure that users make changes within the Master Entity. One area that remains editable in all Entities is the Asset Requirements, with the exception of system created Requirements. This is to allow custom Requirements to be configured and managed specifically for each Entity.
Exceptions to the above are then provided for Entities performing one of the specific roles above.
Finance Entity
Also can be referred to as the Owning Entity. This Entity has full access to finance related functions such as:
- Finance related setup
- Loan Amortisation setup and schedules
- Depreciation
Operational Entity
This represents the Entity that is primarily using the Asset operationally. Currently this has no additional impact on the Asset within this Entity however does ensure when new Assets are created that linked Fleet records are automatically enabled within this Entity ready for us. In other Entities the Fleet records will be created but not activated.
Workshop Entity
The Workshop > Asset Details section within the Asset will only be editable within the Workshop Entity.
